Challenge - business was operating across 36 Excel sheets, with an insurance specialist manually updating data. This approach was error-prone and lacked visibility into the company's entire insurance portfolio.
Our goal was to automate tasks for insurance specialists, freeing up their time for higher-value work. This includes providing better portfolio visibility for the Head of Operations, enhancing transparency across the entire business, and supporting the process of obtaining a license from the Bank of England.
A high-level roadmap outlining the necessary features was discussed and prioritized with the Head of Operations. From this, we identified the first set of must-have features and began shaping their information architecture (IA) and user flows.

We tested our assumptions with the insurance specialist and received very positive feedback, validating our approach and direction.

After the system launch, we received highly positive feedback from insurance specialists and the business. This allowed us to incrementally develop new features and validate them through testing before implementation.

In addition to focusing on new features, we wanted to regularly assess how users felt about the system after spending significant time using it. To achieve this, we conducted shadowing sessions and interviews with our users, gathering valuable insights to inform future improvements to the system's current state.

Success - Thanks to our ongoing close collaboration with users and the business, we successfully freed up 40% of the insurance specialists’ time, enabling them to manage more accounts simultaneously. The business also gained improved visibility into the portfolio’s condition and significantly enhanced reporting on the current situation.
